Terms of Service β β this document defining the rules, scope, and conditions for using the Services provided within the Website.
Website β β the online platform available at https://hiremateai.com, operated by the Service Provider.
Service Provider β β NODE Piotr Nowicki, with its registered office at Al. KEN 36/112B, 02-797 Warsaw, NIP: 9512304601, REGON: 147233931, operating the service under the brand HireMate AI. Contact e-mail address: info@hiremateai.com.
User β β a natural person with full legal capacity, a legal person, or an organizational unit without legal personality, who uses the Website's Services.
Account β β an individual, password-protected User panel on the Website, through which the User can use the Services.
Services β β all services provided electronically by the Service Provider via the Website, in particular AI-powered job interview simulations, voice and content analysis, CV analysis, and progress tracking.
Training Tokens (Tokens) β β virtual billing units that allow the User to access paid Services on the Website.
GDPR β β Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC.
Agreement β β an agreement for the provision of electronic services concluded between the User and the Service Provider upon acceptance of the Terms of Service and successful Account registration.
Β§ 2. General Provisions
These Terms of Service define the rights and obligations of the Service Provider and Users related to the provision of Services on the Website.
Every User is obliged to read the content of the Terms of Service before starting to use the Services. Signing up for an Account is equivalent to full acceptance of the terms of the Terms of Service.
The Website is intended for adults. By creating an Account, the User declares that they are over 18 years of age and have full legal capacity.
All communication with the Service Provider shall be conducted via the e-mail address: info@hiremateai.com.
Β§ 3. Scope and Type of Services
The Service Provider provides Services that enable Users to conduct job interview simulations using advanced artificial intelligence (AI) models.
The main functionalities of the Website include:
a. Configuration of personalized training sessions (job interviews).
b. Conducting interactive voice simulations with an AI recruiter.
c. Receiving detailed analysis (feedback) after each session, including voice metrics, response content analysis, and recommendations.
d. The ability to upload and analyze a CV for further personalization of interviews.
e. Tracking progress and the history of conducted sessions.
Services on the Website are partially paid. Access to advanced features, such as interview simulations, requires the possession and use of Training Tokens.
Β§ 4. Tokens and Payments
Access to key Services (e.g., conducting a simulation, CV analysis) is conditional on the User having an active number of Tokens.
The price list and available Token packages are presented on the Website in the top-up section.
One (1) Training Token entitles the User to conduct one standard simulation session, unless the service description states otherwise (e.g., CV analysis or a multi-stage recruitment path may require more Tokens).
Payments for Token packages are handled by an external payment operator (e.g., PayU, Stripe). The Service Provider does not store any of the User's payment card data.
Purchased Training Tokens are non-refundable, cannot be exchanged for cash, and are not subject to reimbursement. By making a purchase, the User accepts that the digital service is made available to them immediately, which excludes the right to withdraw from the contract with respect to the purchased Tokens.
Unused Tokens remain valid for a period of 12 months from the date of purchase, after which they expire without the possibility of restoration.
Β§ 5. User's Rights and Obligations
The User is obliged to use the Website in a manner consistent with the law, these Terms of Service, and good practices.
The User bears full responsibility for the security of their Account password and is obliged to protect it from third parties.
It is forbidden to undertake actions aimed at destabilizing the operation of the Website, attempting to decompile, reverse engineer, or gain unauthorized access to its resources.
The User bears full responsibility for the content they enter into the Website (in particular, data in the CV and the content of statements during simulations). This content must not violate the law, the personal rights of third parties, or the principles of social coexistence.
The User declares and warrants that they have all rights to the content entered into the Website (in particular, the data contained in the CV) and that this content does not infringe upon the rights of third parties. The User bears sole responsibility for any claims arising from the nature and content of their statements during simulation sessions and the data submitted to the Website.
Β§ 6. Intellectual Property Rights
All rights to the Website, including its source code, graphic design, texts, databases, and know-how, belong to the Service Provider and are protected by law.
The User retains full copyright and ownership of the content they upload to the Website (e.g., CV file, audio recordings of their voice).
By using the Services, the User grants the Service Provider a non-exclusive, royalty-free, worldwide license to: use, process, analyze, store, and display their content (CV, recordings, transcriptions) solely for the purpose of providing and improving the Website's Services. This license is necessary for the proper functioning of the AI features and is valid for the duration of the Account's existence. The Service Provider undertakes to use this data in an anonymized manner for development purposes, where technically feasible.
Β§ 7. Exclusion and Limitation of Liability
The Services are provided "as is". The Service Provider gives no warranties, express or implied, that the use of the Website will bring the User specific results, in particular, it does not guarantee employment or success in any recruitment process.
The User acknowledges and accepts that the HireMate AI Website is an advanced simulation and training tool. The artificial intelligence (AI) used on the Website, despite its sophistication, is inherently a probabilistic model and may generate inaccurate, incomplete, or erroneous information. The feedback, assessments, and recommendations generated by the AI are for informational, educational, and training purposes only. Under no circumstances do they constitute professional career advice, personal counseling, or a guarantee of any results, and should not be treated as the sole basis for making professional or personal decisions.
The Service Provider is not liable for any damages (direct or indirect) resulting from the User's interpretation or use of information obtained from the Website, including the results of recruitment processes in which the User participates.
The Service Provider will make every effort to ensure the continuous operation of the Website but is not responsible for interruptions in its functioning resulting from causes beyond its control, such as technical failures, force majeure, or actions of third parties.
The total liability of the Service Provider to the User, for any reason whatsoever, is limited to the amount of the last Token package purchased by the User.
Β§ 8. Termination of the Agreement
The User may delete their Account at any time, which is equivalent to terminating the Agreement. Deleting the Account is irreversible and results in the loss of all accumulated data and unused Tokens without the possibility of a refund.
The Service Provider reserves the right to block or delete a User's Account in the event of a gross violation of these Terms of Service or generally applicable law.
The Service Provider reserves the right to introduce changes to these Terms of Service.
Users will be informed of any changes electronically (to the e-mail address assigned to the Account) at least 14 days before the changes come into effect.
Failure to accept the new Terms of Service is equivalent to the necessity of discontinuing the use of the Website and deleting the Account.
Β§ 10. Realization of User Rights (GDPR)
The User has the right to access, rectify, erase, and port their personal data in accordance with the GDPR.
The User can request a copy of their personal data in JSON format through the "Export Data" function available in the user panel or by sending a request to info@hiremateai.com. The data will be provided within 30 days of the request.
Right to erasure:
The User can delete their account and all associated data using the "Delete Account" function in the user panel. The deletion is irreversible and includes all personal data, training sessions, audio recordings, and CV files.
In accordance with Polish tax law, the Service Provider issues invoices or receipts at the User's request.
Method of submission:
The User can submit a request for an invoice through the "Request Invoice" function available in the user panel or by sending a request to info@hiremateai.com, providing the order number.
Types of documents:
β for natural persons and companies that are not VAT payers.
β for companies that are VAT payers (requires providing full company details, including the NIP number).
Invoices are issued within 1-3 business days of the request and sent to the User's e-mail address.
For a VAT invoice, the following are required: company name, full company address, and NIP (if applicable).
Β§ 12. Final Provisions
In matters not regulated by these Terms of Service, the relevant provisions of Polish law shall apply.
Any disputes arising from the execution of the Agreement shall be settled by the court competent for the registered office of the Service Provider.
The Privacy Policy is an integral part of these Terms of Service.
